How to Choose Appointment Scheduling Software for a Small Business
How to choose appointment booking software: what to look for, how Calendly, Square Appointments and SimplyBook.me structure plans, and free options to try.
Appointment scheduling software gives customers a page where they can pick a time that's actually free, and puts the booking straight into your calendar. It cuts the back-and-forth of "does Thursday work?" and, on many plans, sends reminders and takes payments as well.
This guide is based on each vendor's documentation and pricing pages, checked on 20 September 2026. We haven't tested the products hands-on, so we don't rank them on ease of use. It leaves out monthly prices because they change and vary by region.
What to look for
- Availability rules: working hours, days off, buffer time between appointments and limits per day
- Calendar sync: it should read your existing calendar so you're never double-booked
- Reminders: by email, and by text if you need it
- Payments and deposits: useful if no-shows cost you money
- Multiple staff or services: if more than one person takes bookings
- Your customers' experience: a booking page that works well on a phone
- Integrations: with your CRM, invoicing or website

Frequently asked questions
Do I need scheduling software or is a calendar enough?
A shared calendar works if bookings come from one person and you handle every request by hand. Scheduling software helps when customers should book themselves, when you want automatic reminders and payments, or when several staff need separate availability.
What is the difference between a booking tool and a field service app?
A booking tool lets customers reserve a time slot. Field service software for trades, such as Jobber or Housecall Pro, also handles dispatch, quotes and invoices around the job. See our plumbing CRM guide for that side.
Can I take payments or deposits when someone books?
Some can. Calendly's pricing page lists payment collection through Stripe and PayPal on paid plans, Square Appointments lists deposits and cancellation and no-show fees on higher plans, and Google Calendar mentions connecting Stripe to request payment. Check the plan you'd need.
Which is best for a salon or clinic?
We haven't tested them hands-on, so we can't rank them. A business with several staff should look at how each tool prices extra providers and whether it supports separate calendars and services.
