What the calculator works out
Give it one repeating task, such as sending quotes, entering leads or chasing invoices. It returns:
- Hours saved per month = tasks × (minutes by hand − minutes after automating) ÷ 60
- Value of that time = hours saved × hourly cost
- Net monthly benefit = value of time − monthly tool cost
- First-year net gain = 12 × net monthly benefit − one-time build cost
- Payback period = build cost ÷ net monthly benefit
- Break-even volume = monthly tool cost ÷ value saved per task
Worked example
These are example numbers, not a prediction. A task happens 300 times a month and takes 6 minutes by hand. After automating, a person still spends 1 minute checking each one. Time is valued at $30 an hour. The tools cost $50 a month and the build costs $400 once.
- Hours saved: 300 × 5 ÷ 60 = 25 hours a month
- Value of that time: 25 × $30 = $750
- Net monthly benefit: 750 − 50 = $700
- First-year net gain: 12 × 700 − 400 = $8,000
- Payback: 400 ÷ 700 ≈ 0.57 months
- Break-even: $50 ÷ $2.50 saved per task = 20 tasks a month
Realistic inputs
- Time it properly. Time the task a few times by hand instead of estimating from memory.
- Include the tail. Some tasks will always need a person, so put that review time in the "after" figure.
- Cost the whole build, including testing and the first weeks of fixing problems. If it is your own time, price it at your hourly cost.
- Prefer high-volume, low-variety tasks. The saving comes from repetition; a task done five times a month rarely repays a build.

Frequently asked questions
Should I count the time still spent reviewing the automation?
Yes. Enter the minutes per task after automating as the time a person still spends on checking, fixing exceptions or approving output. Leaving it at zero overstates the saving, especially when AI drafts are involved.
What is the break-even volume?
It is the number of tasks per month at which the time you save is worth exactly what the tools cost. Below it, the automation loses money each month; above it, it earns money.
Does saved time always turn into money?
Only if the time goes to work that earns or saves money, or you would otherwise pay for it. If nobody's day actually changes, the saving is real but the cash benefit is zero. Be honest about which one applies.
