What Is Workflow Automation? A Plain-English Guide

Workflow automation means setting up software to do a sequence of routine steps for you when something happens, so nobody has to do them by hand. It is the difference between "remember to add every new enquiry to the spreadsheet" and "new enquiries appear in the spreadsheet on their own."

The two parts: a trigger and actions

Every automation has:

• A trigger: the event that starts it, such as a form being submitted, an email arriving or an invoice being paid.
• One or more actions: what happens next, such as creating a record, sending a message or updating a row.

You can add conditions too: only continue if the enquiry mentions a certain service, or the value is above a set amount.

A worked example

A plumbing company receives an enquiry through its website form. An automation could:

1. create a customer record in the CRM
2. send an acknowledgement to the customer
3. create a task for the person who handles new enquiries
4. post a message in the team chat

Same idea, different names

The main platforms use different words for the same things:

Each vendor's pricing page defines its unit. Zapier says a task is counted whenever it successfully completes a unit of work, and that triggers and built-in tools like Formatter don't consume tasks. Make says most actions consume one credit. n8n says it charges per workflow execution, meaning one complete run of a workflow regardless of the number of steps. What automation is good for

• Copying data between apps so it's entered once
• Sending confirmations and reminders on a schedule or event
• Routing work to the right person
• Collecting information into one place

What it isn't good for

• Fixing a process nobody has defined. Automation repeats whatever you give it, including mistakes.
• Judgement calls. If a person would have to think about it every time, a workflow can prepare the information but shouldn't decide.
• Rare tasks. If something happens twice a month, the time to build and maintain the workflow may exceed the time saved.
