Workflow automation connects the apps you already use so routine steps happen without anyone retyping or remembering them. AI adds a different ability: drafting, summarising or sorting text inside those workflows. For a small business the sensible approach is small and specific: pick one repeatable task, automate the rule-based steps, keep a person in charge of anything a customer will rely on, and measure the time it saves.

What workflow automation actually is

An automation has a trigger (something happens, such as a form being submitted) and one or more actions (things that happen as a result, such as creating a CRM record and sending a confirmation). The tool that runs it sits between your apps.

Choosing your first project

Count three things, not one:

  1. Tool cost: the plan, and any per-run charges as volume grows.
  2. Build cost: your time or a freelancer's.
  3. Upkeep: workflows break when an app changes, so someone has to notice and fix them.
